QuickBooks · Cleanup

QuickBooks cleanup.
Start accurate, stay accurate.

Books behind by months or full of errors that compound every quarter. We reconcile from the last clean period forward, fix every misposting, and hand you a file that is accurate from day one of ongoing service.

What Our QuickBooks Cleanup Covers

A structured cleanup that finds every error, corrects every account, and leaves the books in a state your CPA can work from.

🔍
Historical Reconciliation
We reconcile every bank and credit card account from the last confirmed clean period forward. Every unreconciled transaction resolved — no guesswork, no skipping.
✏️
Misposting Corrections
Wrong account, wrong vendor, wrong tax code. We identify and correct every misposting with a documented adjustment log so your CPA can see what changed and why.
📂
Chart of Accounts Restructure
Generic or broken chart of accounts rebuilt to match how your business actually operates. Income by product line, expenses by department, and balance sheet accounts properly classified.
🏷️
Opening Balance Verification
Opening balances traced back to bank statements or prior accountant workpapers. Unexplained differences investigated and resolved before we sign off.
🔗
Duplicate & Voided Transaction Review
Duplicate payments, voided checks that hit the bank, and split transactions that were entered twice — all identified and corrected.
📋
Cleanup Report
A written summary of every change made, every account corrected, and the final reconciled balance for each account. Full audit trail delivered with the clean file.
💳
Payment Platform Reconciliation
Stripe, Square, PayPal, and Mercury or Chase bank feeds reconciled to the payout level, not just the deposit total, so processing fees, refunds, and chargebacks post to the right accounts.
🛒
Ecommerce Channel Reconciliation
Amazon, Walmart, Shopify, and Etsy settlement reports reconciled against bank deposits, separating gross sales, platform fees, shipping, and returns instead of booking one lump deposit.
📦
Inventory Reconciliation
Inventory quantities and cost of goods sold reconciled against your inventory app, ecommerce platform stock counts, or a spreadsheet-tracked list, so on-hand value in QuickBooks actually matches reality.

Platforms We Reconcile, By Name

Not a generic "we connect your apps" line. This is what we actually work in every week.

Stripe Square PayPal Mercury Chase Novo Relay Brex
Amazon Seller Central Walmart Marketplace Shopify Etsy eBay
Zoho Inventory TradeGecko / QuickBooks Commerce SkuVault Excel / Spreadsheet Stock Lists

Don't see your platform? We've almost certainly worked in something similar — ask us on the call.

Why Businesses Choose Khetanca for QuickBooks Cleanup

We do not just reconcile the bank. We fix the underlying structure so the books do not break again.

📄
Written Change Log
Every correction documented. Your CPA, auditor, or new bookkeeper can see exactly what was changed and why — no black box.
🎓
CA-Supervised Process
Cleanup supervised by a Chartered Accountant, not a bookkeeper working from a checklist. Tax implications of reclassifications reviewed before we make changes.
⚡
Fast Turnaround
Most cleanups completed within 2 to 4 weeks depending on the number of months and transaction volume. We give you a timeline before we start.
🛡️
No Disruption
We work in a copy of the file or with read access until cleanup is complete. Your current bookkeeper or operations are not interrupted.
📊
Handover-Ready File
Cleanup deliverable is a file ready for ongoing bookkeeping — by us or by your existing team. Chart of accounts, bank rules, and opening balances all verified.
🔁
Ongoing Option
Most cleanup clients move to ongoing monthly bookkeeping with us. The cleanup engagement rolls into a monthly retainer at a discounted rate.
👤
Single Point of Contact
One person owns your engagement start to finish, not a rotating queue of whoever's free. You always know who to call, and they already know your file.
🔒
Data Security & Integrity
Access granted through QuickBooks' own accountant-user roles, never shared logins. Bank credentials are never requested. Every access grant is revocable by you at any time.

Mistakes to Avoid & Precautions We Take

A cleanup done wrong is worse than no cleanup at all. Here's what we specifically watch for, and why.

⚠️
Reclassifying without checking tax impact
Moving an expense between accounts can silently change a prior filed return's numbers. We flag every tax-impacting reclass separately before touching it, not after.
⚠️
Editing live while the business keeps operating
Cleaning up a file your team is still posting to daily creates a moving target. We work in a duplicate file or lock the period being cleaned so nothing shifts underneath us.
⚠️
Deleting instead of voiding
Deleted transactions leave no trace and break the audit trail your CPA needs. We void and annotate, never delete, so every prior entry is still visible in the history.
⚠️
Booking one lump deposit from a payment processor or marketplace
A single Stripe or Amazon payout bundles sales, fees, refunds and tax. Booking it as one deposit overstates income and hides real cost. We break every payout into its components.
⚠️
Changing the chart of accounts before the reconciliation is done
Restructuring accounts before balances are confirmed means recorrecting everything twice. We reconcile first, correct mispostings next, and restructure the chart last.
⚠️
No written record of what changed
A cleanup with no change log leaves your next bookkeeper or your CPA guessing why numbers moved. Every single correction we make is logged with the reason, not just the result.

Process & Timeline

From first call to clean books — no disruption, no guesswork, and a day-range you can plan around.

01
Review Call · Day 1
We access your QuickBooks file and spend 30 minutes reviewing the state of the books — how far back issues go, what type of errors exist, and how long cleanup will take.
02
Scope & Timeline · Day 2–3
We send a written scope: months to be cleaned, accounts affected, payment platforms and ecommerce channels involved, estimated hours, and fixed price. No surprises. You approve before we start.
03
Access & Data Collection · Day 3–5
You grant read or accountant-level access, never your bank login. We pull bank and card statements, payment processor payout reports, and marketplace settlement reports for every period in scope.
04
Cleanup Execution · Week 1–3
We work through the file systematically — bank and processor reconciliation first, mispostings next, inventory reconciliation, then chart of accounts last. Every change logged as we go, in a duplicate file so your team isn't disrupted.
05
Client Walkthrough · End of engagement
Your single point of contact walks you through the cleaned file, the change log, and the reconciled balances on a call, so nothing lands in your inbox unexplained.
06
CPA Handover · If applicable
If you use an outside CPA or tax preparer, we package the change log, adjusting entries, and reconciled trial balance in a format they can act on directly, and get on a call with them if needed.

What Your CPA or Tax Preparer Actually Receives

Cleanup that ends at "the bank is reconciled" isn't finished. Handover to your outside CPA is part of the engagement, not an afterthought.

📊
Reconciled Trial Balance
Every account tied out to source documents, ready to be the starting point for a return or a review, not a set of numbers that still needs checking.
📝
Adjusting Journal Entries Schedule
Every correction listed as its own entry with account, amount, and reason, so your CPA can review our work instead of reverse-engineering it from the file.
🚩
Tax-Impacting Items Flagged Separately
Any reclassification that could affect a previously filed return is called out on its own list, so your CPA can decide on amendments without hunting for it.
📁
Supporting Documentation, Organized
Bank statements, processor and marketplace settlement reports, and inventory reconciliation workpapers filed by period, not a folder of scattered PDFs.
📞
A Direct Call, If Needed
If your CPA has questions on a specific adjustment, we get on a call with them directly rather than routing everything back through you.
✅
A File Ready to File From
The end goal isn't "cleaner than before." It's a file your CPA can prepare a return from without a second cleanup pass of their own.

Frequently Asked Questions

What is the difference between cleanup and catch-up bookkeeping?+
Catch-up means posting missing transactions to bring the books current. Cleanup means correcting wrong transactions that are already in the books. Most engagements need both — we do both.
How far back can you clean up QuickBooks?+
We can clean up from any starting point as long as we can obtain bank statements for the period. Most cleanups are 6 to 24 months. Longer periods are quoted separately.
Will you need access to our bank statements?+
Yes. We need bank and credit card statements for every account being reconciled. We also request any prior accountant workpapers if available.
Do you charge by the hour or a fixed price?+
Fixed price, quoted after the review call. Price depends on number of months, number of accounts, and transaction volume — not how many hours it takes us.
What if the previous bookkeeper made incorrect tax entries?+
We flag all tax-impacting reclassifications separately in the change log and advise on whether amended returns may be needed. We do not file returns as part of a cleanup engagement but can provide an income tax review.
Can you clean up books in both QuickBooks Online and Desktop?+
Yes. We clean up QuickBooks Online (all tiers) and QuickBooks Desktop Pro, Premier, and Enterprise. We also convert between QBO and QBD if required.
Do you reconcile Stripe, Square, and other payment platforms?+
Yes. We reconcile Stripe, Square, PayPal, and bank feeds from Mercury, Chase, Novo, Relay and Brex down to the payout level, separating processing fees, refunds and chargebacks rather than booking one lump deposit.
Do you reconcile Amazon, Walmart, Shopify and Etsy sales?+
Yes. We reconcile Amazon Seller Central, Walmart Marketplace, Shopify and Etsy settlement reports against bank deposits, splitting out gross sales, platform fees, shipping and returns instead of one bulk figure.
Can you reconcile inventory from an inventory app or a spreadsheet?+
Yes. We reconcile inventory quantities and cost of goods sold in QuickBooks against dedicated inventory apps, your ecommerce platform's own stock counts, or an Excel-tracked list, so on-hand value matches what you actually hold.
Will I have a single point of contact throughout the cleanup?+
Yes. One person owns your engagement from the review call through to handover. You are not routed through a shared inbox or a different person on every call.
How do you keep our financial data secure during cleanup?+
We access QuickBooks through its own accountant-user role, never a shared login, and never request your online banking credentials directly. Access is revocable by you at any point, and we work in a duplicate file so your live data isn't touched until you approve the changes.
