Accounting Automation

Automate Your Accounting — Not Just Your Bookkeeping.

Every entry that
shouldn't need a human.

CRM-to-Books sync, payment recording, expense capture from email and bank statements, auto journal posting, depreciation, commission and payroll entries, and live analytical reports. Not a fixed package — a menu, built around which of these your business actually needs.

✕
Deal won in CRM, invoice raised manually days later
✕
Payments received, matched against invoices one by one, by hand
✕
Vendor bills and receipts sitting in an inbox, typed in manually
✕
The same recurring journal entry re-typed every single month
✕
Depreciation and commission calculated on a spreadsheet, entered separately from the books
After automation
The moment a deal is marked Won in CRM, the invoice or sales order exists in Books already, correct line items and all.
After automation
Payments from your bank feed are matched to the right invoice or bill and recorded automatically, no manual reconciliation queue.
After automation
Vendor bills and expense receipts are captured straight from email or the bank statement and entered as transactions, not retyped.
After automation
Recurring and templated journal entries post themselves on schedule. Rent, subscriptions, provisions, done the same way every time.
After automation
Depreciation schedules and commission calculations run automatically and post directly as journal entries, not a side spreadsheet.
What we automate

Eight things we can automate.
Build the ones you need.

Every business needs a different mix of this. Some need CRM-to-Books sync and nothing else. Some need the full set. We scope it to what's actually slowing you down, not sell you all eight because they exist.

01
CRM-to-Books Sync
A deal won in CRM creates the invoice or sales order in Books automatically, correct customer, line items and amounts, no manual step in between.
02
Payment Recording Automation
Payments landing in your bank feed are matched against open invoices or bills and recorded automatically, instead of sitting in an unreconciled queue.
03
Expense Recording from Email & Bank Statements
Vendor bills and receipts arriving by email, or transactions on a bank statement, are captured and entered automatically, categorised the way your chart of accounts expects.
04
Auto Journal Posting
Recurring and templated journal entries, rent, subscriptions, accruals, provisions, post themselves on a schedule instead of being re-typed every period.
05
Depreciation Calculation & Entry
Fixed asset depreciation schedules calculated on the correct method and useful life, posted as a journal entry automatically each period, not tracked separately in a spreadsheet.
06
Commission Calculation & Entry
Sales commission calculated directly from CRM or deal data against your actual commission structure, posted as a payable entry automatically, reconciled to the books from day one.
07
Payroll Entries
Payroll run data, gross pay, deductions, employer contributions, posted into the books as journal entries automatically, matched to the payslips it came from.
08
Analytical Reports
Dashboards that refresh themselves from live data across CRM, Books, Payroll and Inventory, not a report someone rebuilds by hand every month-end.
Our process

Scope it. Build it.
Run it.

Step 01
Requirement mapping
We go through which of the eight your business actually needs, and in what priority. Not every business needs all of them, and some need something none of them cover.
Step 02
Automation design
We design the exact trigger, calculation logic and posting rule for each automation, reviewed with you before anything gets built.
Step 03
Build and test
Built and run against real transactions before going live. Edge cases, part-payments, reversals, corrections, tested deliberately, not discovered later.
Step 04
Go live and refine
Launched with a transition period where entries are still reviewed closely. We stay on it through the first month-end close.
Beyond convenience

Fewer entries typed by hand
is fewer entries typed wrong.

The time saved gets the attention, but the accuracy gain is usually bigger. A number that's calculated and posted automatically can't be transposed, forgotten, or entered against the wrong account by whoever was covering that day.

CRM and Books stop drifting apart
When invoices are raised manually from a CRM export, small mismatches creep in, a discount applied in one system and not the other, a line item missed. Automated sync means the two are reading from the same source, every time.
Month-end close stops being a scramble
If reconciliation, recurring entries and depreciation are already posted throughout the month, closing the books is a review, not a three-day catch-up exercise every time the deadline arrives.

Frequently Asked Questions

Do I have to automate all eight, or can I pick just what I need?+
You pick what you need. Some businesses only need CRM-to-Books sync and payment recording; others need the full set including depreciation, commission and payroll entries. We scope each engagement to the specific automations that actually address your bottleneck.
Does accounting automation require Zoho, or does it work with QuickBooks too?+
Most of these automations are built inside Zoho, since Books, CRM, Payroll and Analytics sit on one connected platform. Some, like recurring journal posting and depreciation entries, can also be built inside QuickBooks depending on the specific workflow.
How is this different from Business Process Automation?+
Business Process Automation covers operational workflows like payment approvals and purchase order controls. This page covers automating the accounting entries themselves, the invoice, the journal, the depreciation schedule, the payroll posting. The two are complementary and often built together.
Will automated entries still be reviewed by a person?+
Yes. Automation removes the manual re-typing step, not the review step. A CA still reviews the books; the difference is they are reviewing correctly posted entries instead of catching data-entry mistakes.
How long does it take to set up accounting automation?+
A single automation, such as CRM-to-Books sync, typically takes 1 to 2 weeks including testing. A fuller build spanning several of the eight, payment recording, journal posting and payroll entries together, usually takes 3 to 5 weeks.
