Zoho Analytics, Books and CRM Integration: Step-by-Step Setup, Default Reports, and Connecting Workspaces

Zoho Books and Zoho CRM each have decent native reports, but neither one shows you the full picture on its own: a deal pipeline that doesn't reconcile against what actually got invoiced, or receivables data with no visibility into which sales rep or deal it traces back to. Zoho Analytics is where that combined view lives, but there's a step people miss on the way there. Connecting Books and CRM to Analytics each creates its own separate workspace, and Analytics doesn't merge them automatically. This post covers connecting each app, what you get by default once they're in, and the specific step to connect the two workspaces together.

Step 1: Connect Zoho Books to Zoho Analytics

Steps

In Zoho Books, go to Settings, then Zoho Apps under Integrations, and click Connect next to Zoho Analytics. Read the integration overview and click Configure. Select the modules and fields you want synced, set a sync schedule, and click Save and Sync. The initial sync can take a while depending on your data volume; you'll get an email once it's complete.

This is a one-way sync, Books to Analytics, and a dedicated workspace is created automatically to hold it. To access it later, go to Reports and click Try Advanced Reporting, or go to Settings → Zoho Apps → Zoho Analytics → Show Details → Access Zoho Analytics. Only the admin who set up the integration can see this workspace by default; if other users need access, that admin has to add them from the workspace's own Settings inside Zoho Analytics.

Step 2: Connect Zoho CRM to Zoho Analytics

Steps

In Zoho CRM, go to Setup, then Marketplace, then Zoho, and select Advanced Analytics for CRM. Click Configure. Select the fields you want synced from each module, up to 95 fields per module, mandatory fields are preselected and can't be removed. Set the synchronization schedule and click Save. You'll get an email once your CRM data has been imported.

This creates its own separate workspace in Zoho Analytics, distinct from the Books one. The modules that sync include Leads, Accounts, Contacts, Deals, Campaigns, Quotes, Sales Orders, Invoices, Products, Price Books, and Activities (Calls, Meetings, Tasks). Any subsequent changes to CRM records sync automatically at your scheduled time, and you can revisit the field and module selection any time from the same setup screen.

Default Reports Available After Integration

Both integrations ship with a substantial set of pre-built reports and dashboards so you're not starting from a blank workspace.

Zoho Books workspace

Zoho markets the Books integration as coming with 150+ pre-built reports and dashboards covering sales, receivables, payables, and payments received, going deeper than what's available in Books' native report screens: trend comparisons over time, correlations across metrics, and drill-downs by customer or vendor that Books' standard reports don't offer on their own.

Zoho CRM workspace

The CRM workspace comes with reports built around the synced modules: lead source performance, deal pipeline by stage, win/loss analysis, sales rep performance, and forecast versus actual, giving you a starting set of views without building anything from scratch.

ZOHO BOOKS Sales, AR, AP, payments ZOHO CRM Leads, Deals, Activities ZOHO ANALYTICS Both workspaces connected Pivot tables across both 150+ pre-built reports Trend, correlation, drill-down Cross-tabulate any synced field, freely

Books and CRM stay in their own workspaces, but Analytics can cross-tabulate fields from both once each is connected.

Pivot Tables: What's Actually New Here

Once your data is synced, Pivot Table becomes available as a report type over any table in either workspace, alongside Chart, Summary View, and Tabular View. This is the capability neither app offers natively: drag any synced field into rows, columns, or values and cross-tabulate freely, deal value by stage and by rep, invoice amount by customer and by month, without predefining the report shape in advance. Native reports in Books and CRM are fixed layouts; a pivot table in Analytics is not.

How to Connect the Books and CRM Workspaces

This is the part that trips people up. You now have two workspaces, one for Books, one for CRM, and Zoho Analytics doesn't let you build a single report pulling tables from two different workspaces directly. To get a report that combines deal data from CRM with invoice data from Books, you have to deliberately connect the two, and there are two ways to do it.

Option 1: Data Blending (the more common path)

Open the workspace you want to treat as your base, say the CRM one, and click Create, then New Table or Import Data. From the Import Your Data screen, select Zoho Books as the source and enter the connection details. Zoho Analytics automatically identifies matching columns between the two apps, customer or account name is the most common match, and offers to set up Data Blending with suggested lookup relationships. Review the suggested lookups on the customize screen, adjust if needed, and click Create. Your CRM workspace now has Books tables in it, connected through those lookups, so a single report can pull fields from both sides.

Option 2: Import Data from Zoho Analytics Workspace

A more general-purpose route for bringing specific tables across, rather than the full app-to-app connection Data Blending sets up. From within one workspace, use the Import Data from Zoho Analytics Workspace option, select the other workspace as your source, and choose which tables to bring over. Analytics auto-suggests joins where column names and data types match, though you'll need to confirm or build these manually where they don't. This route doesn't retain the original relational structure from the source workspace, so it needs a bit more manual setup than Data Blending for this specific Books-CRM case.

For connecting Books and CRM specifically, Data Blending is the more direct route since it's built for exactly this, joining data from separate business apps, and handles the lookup detection for you. The workspace-import option is better suited to cases where you're bringing over a specific table rather than establishing an ongoing connection between two live business apps.

Frequently Asked Questions

How do you connect Zoho Books to Zoho Analytics?+
In Zoho Books, go to Settings, then Zoho Apps under Integrations, and click Connect next to Zoho Analytics. Click Configure, select the modules and fields to sync, set a sync schedule, and click Save and Sync. A dedicated workspace is created automatically in Zoho Analytics.
How do you connect Zoho CRM to Zoho Analytics?+
In Zoho CRM, go to Setup, then Marketplace, then Zoho, and select Advanced Analytics for CRM. Click Configure, select fields from each module (up to 95 per module), set the synchronization schedule, and click Save. This creates its own separate workspace in Zoho Analytics.
Do Zoho Books and Zoho CRM share the same workspace in Zoho Analytics?+
No. Each integration creates its own separate workspace by default. You cannot build a single report pulling directly from tables in two different workspaces until you deliberately connect them using Data Blending or a cross-workspace data import.
How do you connect the Zoho Books and Zoho CRM workspaces in Zoho Analytics?+
Open one of the two workspaces, click Create, then New Table or Import Data, and select the other Zoho app as the data source. Zoho Analytics auto-detects matching columns, such as customer or account name, and offers to set up Data Blending with suggested lookup relationships, which you can review and customize before creating the connection.
Are pivot tables available after connecting Books and CRM to Zoho Analytics?+
Yes. Once data is synced, Pivot Table is one of the report view types available over any table, letting you drag fields into rows, columns, and values for ad-hoc cross-tabulation, something neither app's native report screen offers on its own.

Where to Go From Here

For what a properly built Zoho Analytics dashboard looks like once your data is in, see our Zoho Analytics dashboards service page. For how the Deals module itself is structured before its data ever reaches Analytics, see our Zoho CRM Deals module guide.

We build cross-app Zoho Analytics dashboards, not single-app reports.

Connecting Books and CRM to Analytics is the easy part. Getting the lookups right, choosing which reports actually earn a place on a dashboard, and building the pivot views that answer real questions instead of just displaying data, is where we spend our time. We set this up so your CRM and financial data finally sit in one place.
