Which Zoho One Apps Does Your Travel Agency Actually Need?

A travel agency runs on conversations, not inventory — an enquiry becomes a quotation, a quotation becomes an itinerary, and an itinerary becomes a booking, often across several back-and-forth messages before a traveller commits. Zoho One has 45-plus apps available, but only a handful of them actually map to that workflow. This post covers which ones, staged by when you actually need them.

Why Travel Agencies Are Different

Most businesses sell a fixed product. A travel agency sells a conversation that ends in a custom itinerary — different dates, different destinations, different budgets, every time. That means the sales pipeline has to be built for negotiation and customisation, not a simple cart checkout, and it means most enquiries arrive as a message before they arrive as a call: travellers ask questions on WhatsApp, Instagram, or a website form long before they're ready to book. The other real difference is revenue: most agencies earn commission from suppliers — airlines, hotels, tour operators — rather than a flat markup, which changes how the accounting side needs to be tracked.

Day 1: The Core Workflow

Zoho CRM

The central hub for a travel agency, not just a nice-to-have. Enquiries from the website, WhatsApp, calls and referrals land in one pipeline instead of getting lost across channels. With custom modules and fields, CRM tracks flight segments, accommodation details, special requests and day-wise itinerary components against each traveller, alongside the booking stage — enquiry, quotation, confirmed, travelled — in the sales pipeline itself.

Zoho Books

Handles invoicing, deposit and instalment tracking, and — critically for a travel agency — commission tracking from suppliers. Most agencies earn a percentage from airlines, hotels and tour operators rather than charging a flat markup, and that needs to be tracked accurately against each booking, not blended into general revenue.

WhatsApp integration inside CRM

Most travellers message before they call. Connecting WhatsApp directly into CRM means an enquiry that starts as a WhatsApp message becomes a tracked lead immediately, with the full conversation history attached to that traveller's record rather than living only on an agent's personal phone.

These three are not optional, regardless of agency size. A solo travel consultant and a twenty-agent agency both need enquiries captured reliably and commission income tracked accurately. Everything else in this post is genuinely about sequencing, not necessity.

Growth Stage: Add These Once You Hit Real Volume

Zoho Projects

Worth adding once fixed departures or group tours are common enough that tracking visa deadlines, deposit due dates and supplier confirmations across many travellers by hand stops being reliable. A fixed departure — a set date, a defined capacity, one shared itinerary across many travellers — gets its own timeline with dependencies and deadlines, which a CRM pipeline alone isn't built to hold.

Zoho Campaigns or Marketing Automation

Seasonal package promotions and newsletters to past travellers, worth adding once there is a real list of previous clients worth re-engaging — most agencies find repeat and referral travellers are their highest-margin business, and a systematic way to stay in front of them pays for itself.

Zoho Analytics

Once there are multiple agents, branches, or destinations to report on, reconciling performance by hand stops being realistic. Analytics pulls CRM and Books data into one reporting layer — revenue by destination, commission by supplier, conversion rate by agent.

Zoho Desk

Post-booking support — rebooking, cancellations, itinerary changes — outgrows a shared inbox once ticket volume is high enough that nothing should fall through without a record.

Zoho Sign

For tour agreements, group booking contracts and liability waivers that need a signature on file before a group departs, rather than a scanned PDF chasing an email thread.

If Needed: Situational, Not Universal

  • Zoho Creator — for a custom quote or itinerary builder unique to how your agency actually sells. Several travel-specific extensions already exist on the Zoho Marketplace, built on Creator and integrated with CRM and Books for quotes, trips and commission tracking — worth checking before building something from scratch.
  • Zoho Forms — structured intake for traveller details, passport and visa document collection, or group booking sign-up sheets.
  • Zoho Survey — post-trip feedback, genuinely useful for an agency that relies on referrals and reviews, not a default addition for everyone.
  • Zoho Flow — worth it once you need custom automation connecting CRM to a GDS system or a specific flight or hotel booking engine that doesn't have an out-of-the-box connector.
  • Zoho SalesIQ — live chat on the website, relevant once traffic is high enough that a real-time question is genuinely costing you enquiries.

Rarely or Never Needed for Travel Agencies

  • Zoho Inventory — built for physical stock across warehouses, not applicable to an agency that isn't also selling travel gear or merchandise.
  • Zoho FSM — field service management for on-site installs and repairs, not relevant to travel.
  • TrainerCentral — only relevant if you're running formal travel agent training or certification courses, not standard for a typical agency.

The Honest Caveat: Zoho Is Not a GDS or Booking Engine

Zoho CRM manages the enquiry, quotation, itinerary and follow-up workflow extremely well, but it does not book flights or hotels itself. Actual reservations still run through a GDS system — Amadeus, Galileo, Sabre — or a dedicated flight and hotel booking engine, and CRM connects to those systems through APIs, Zoho Flow, or Marketplace extensions rather than replacing them. Treat Zoho as the layer that organises the sales and operations around your booking system, not a substitute for one.

How to Sequence Your Rollout

  • Get enquiry capture and commission tracking right first. Nothing else matters if leads are still getting lost in someone's WhatsApp or commission income isn't tracked accurately against each booking.
  • Add Projects once group tours genuinely need it. A handful of custom FIT itineraries a month doesn't need a project timeline; a calendar of fixed departures with real deadlines does.
  • Treat "if needed" apps as genuinely conditional. Don't add Zoho Creator because a marketplace extension looks appealing — add it once your actual quote or itinerary process has outgrown what CRM's native fields can hold.

Frequently Asked Questions

Which Zoho One apps does a travel agency need from day one?+
Zoho CRM as the central hub for enquiries, quotations and itinerary tracking, Zoho Books for invoicing and commission tracking, and WhatsApp integration inside CRM, since most travellers message before they call. These three cover the core sales and accounting workflow regardless of agency size.
Does Zoho CRM handle actual flight and hotel bookings?+
No. Zoho CRM is not a GDS or booking engine. It manages the enquiry, quotation, itinerary and follow-up workflow, and integrates with GDS systems and flight or hotel booking engines through APIs, Zoho Flow, or the Zoho Marketplace — it does not replace those systems.
Can Zoho CRM track complex multi-destination itineraries?+
Yes, with custom modules and fields configured for it. Travel agencies commonly set up CRM to track flight segments, accommodation details, special requests, and day-wise itinerary components against each traveller record, alongside the booking stage in the sales pipeline.
When should a travel agency add Zoho Projects?+
Once fixed departures or group tours are common enough that tracking visa deadlines, deposit due dates, and supplier confirmations across many travellers by hand becomes unreliable. Projects gives each tour its own timeline with dependencies and deadlines, which a CRM pipeline alone isn't built for.
What is the difference between fixed departure and FIT trips in how Zoho handles them?+
A fixed departure trip has a set date, capacity, and shared itinerary across many travellers, better suited to Zoho Projects once volume grows. An FIT, or fully independent trip, is unique to one traveller or group and is typically managed as a single CRM deal with a custom itinerary built for that booking alone.
