Zoho Books · Migration

Migrate to Zoho Books.
Clean data from day one.

From QuickBooks, Tally, FreshBooks, Sage, Wave or spreadsheets. We migrate module by module — not a journal dump. Bank transactions imported and categorised, bank accounts reconciled year on year, and the Zoho Books file handed over with every account balancing to the day.

Sources we migrate from

Any software. Any mess.
Clean Zoho Books at the end.

We have migrated from accounting software, spreadsheets, paper records and combinations of all three. The source does not matter — the output always balances.

📒
QuickBooks → Zoho Books
Online or Desktop. Chart of accounts mapped, open invoices and bills migrated, bank transactions imported from feeds or statements. Closing balances in QB match opening balances in Zoho Books exactly.
📊
Tally → Zoho Books
Tally ERP9 and TallyPrime. Ledgers mapped to Zoho Books accounts. GST configuration rebuilt correctly in Zoho Books. Vouchers not dumped as journals — each transaction type migrated to the right module.
📋
FreshBooks → Zoho Books
Customer records, invoices, payments and expense history migrated. FreshBooks does not have a full double-entry ledger — we rebuild the accounting structure correctly in Zoho Books from day one.
📁
Sage → Zoho Books
Sage 50, Sage Business Cloud and Sage Intacct. Chart of accounts restructured for Zoho Books account types. AP, AR and bank balances verified before go-live.
🌊
Wave, Xero & Others
Wave, Xero, Zoho Invoice, FreeAgent, KashFlow, NetSuite — if it exports data, we can migrate it. We have not found a source system we could not migrate from.
📑
Spreadsheets & Paper
No accounting software at all? We build Zoho Books from bank statements, invoices and expense records. Opening balances set from the last confirmed position. Clean books from go-live day.
Why our migrations are different

Not a journal dump.
A real migration.

Most migrations take the closing trial balance and paste it as a single opening journal entry. That gives you a balance sheet that matches — but no history, no AR detail, no AP detail, and no way to reconcile anything. We do not do that.

Typical migration
Closing trial balance pasted as one opening journal entry
No AR or AP history — you cannot see who owes what or what is overdue
Bank accounts show one lump entry — no statement to reconcile against
GST and TDS configurations wrong from day one in the new system
Zoho Books works — but the data inside it is useless for decisions or compliance
Khetanca migration
Every module migrated separately — invoices, bills, payments, expenses
AR and AP migrated with customer and vendor detail — who owes what, since when
Bank transactions imported from statements and categorised — not manually entered
Every bank account reconciled year on year — statement balance matches Zoho Books
GST, TDS and compliance configured correctly before the first live transaction
Why this matters for GST and compliance

When your bank account reconciles in Zoho Books and your AR and AP match the old system, your GST returns for the transition period are clean. You are not correcting the previous system's errors in the new one. GSTR-2B reconciliation works from day one.

What we migrate, module by module

Every data type in its right place.

Each data type goes into the correct module in Zoho Books — not collapsed into a journal entry that cannot be used for anything.

MODULE 01
Chart of Accounts
Ledgers from the old system mapped to Zoho Books account types. Account groups restructured. Parent and sub-accounts configured. Opening balances entered and verified against the old system's trial balance.
MODULE 02
Customers & Vendors
Customer and vendor master migrated with contact details, payment terms, GST numbers, TDS applicability and outstanding balances. Contacts usable from day one without re-entry.
MODULE 03
Open Invoices & Bills
Outstanding AR and AP from the old system migrated as open invoices and bills in Zoho Books. Ageing preserved. Payment matching works from the first transaction in the new system.
MODULE 04
Bank Transactions
Bank statements imported directly into Zoho Books — not manually keyed in. Transactions categorised against the correct accounts. Every account reconciled year on year to bank statement closing balance.
MODULE 05
GST & Tax Configuration
GST rates configured for your supply mix — goods, services, exempt, RCM. TDS sections and rates configured. E-invoicing set up where applicable. GSTR-2B reconciliation functional from the first return period.
MODULE 06
Items, Products & Services
Product and service catalogue migrated with HSN / SAC codes, GST rates, pricing and inventory where applicable. Invoice and purchase order creation works correctly in Zoho Books from go-live day.
How it works

From review to go-live
in under three weeks.

Step 01
Migration review call
We access the old system, review the data quality, identify gaps, and agree what gets migrated and what gets summarised. We give you a fixed timeline and price before we start — not after.
Step 02
Zoho Books configuration
Organisation settings, chart of accounts, GST, TDS, invoice templates, payment methods and user roles configured in Zoho Books before any data is imported. Structure first, data second.
Step 03
Module-by-module migration
Contacts, open invoices and bills, bank transactions, items and historical entries migrated in sequence. Each module verified before moving to the next. Bank accounts reconciled year on year as we go.
Step 04
Parallel check and go-live
Trial balance in Zoho Books verified against the old system. Bank closing balances match. Open AR and AP totals match. We sign off, hand over, and you go live — with ongoing bookkeeping available from day one.

Frequently Asked Questions

How long does a migration from QuickBooks to Zoho Books take?+
Most QuickBooks to Zoho Books migrations complete in 2 to 3 weeks. The timeline depends on the number of years of data being migrated, how many bank accounts need reconciling, and whether the old system's data is clean. We give you a fixed timeline after the review call.
Why do you import bank transactions instead of entering them manually?+
Bank statement import gives you a transaction-by-transaction record that can be reconciled against the actual statement. Manually entered data cannot be reconciled — you have a number in the ledger but no way to verify it matches the bank. We never use manual entry for bank data because it cannot be audited.
What does "reconcile year on year" mean in practice?+
For each year of data we migrate, we reconcile the bank account in Zoho Books to the actual bank statement for that year. Every transaction in the statement is matched to an entry in Zoho Books. The closing balance for each year matches the statement. This means the data is verifiably correct — not just numerically close.
How does Tally migration work — can you migrate the voucher history?+
Tally vouchers are exported and mapped to the correct transaction types in Zoho Books — sales invoices, purchase bills, journal entries, payments and receipts. We do not dump Tally vouchers as a single journal entry. GST configuration is rebuilt from scratch in Zoho Books because Tally's GST treatment often needs correction.
Do we need to keep running the old system during migration?+
Yes, until go-live. We build and verify Zoho Books in parallel. You continue operating in the old system. On go-live day — usually a month-end — you switch to Zoho Books. No data is entered twice. The old system is archived, not deleted.
Do you offer ongoing bookkeeping after migration?+
Yes. Most migration clients move to ongoing monthly bookkeeping in Zoho Books with us. Because we built and migrated the file, there is no handover cost and no re-onboarding. The migration fee rolls into a monthly retainer.
